Express Employment is seeking a highly skilled individual to provide advanced administrative support to a HR and Executive Team for local company that supports the Salem Community! Key Responsibilities
:

  • Perform a variety of advanced administrative duties requiring considerable initiative and independent judgment.
  • Schedule and confirm all travel dates, reservations, conference fees, and hotel accommodations in a manner consistent with agency travel policies.
  • Monitor and respond to email and mail correspondence; determine how to handle routine phone, email, and mail items.
  • Handle and prepare sensitive and confidential information such as budget details; maintain confidential files.
  • Independently create documents such as reports, forms, questionnaires, agency policies and procedures, phone and mailing lists, press releases, newspaper ads, newsletters, and agendas from rough drafts or verbal instructions.
  • Compose and type correspondence from rough drafts, dictation, and verbal instructions.
  • Coordinate and schedule meetings by preparing agendas and other written materials, reserving rooms, contacting guest speakers, and sending notices of times, dates, and locations to appropriate parties; take meeting minutes; plan and coordinate special events.
  • Communicate daily concerning agency developments, unusual situations, successes, planning, challenges, and recommendations.
  • Resolve problems and complaints with considerable tact and judgment.
  • Research and assemble information for various issues as required.
  • Assist with ensuring that individuals seeking services from Administration are responded to quickly.
  • Coordinate competing priorities, standing in as needed at meetings or events.
  • Manage the internal tracking and processing of confidential matters.
  • Track assignments given to Directors; monitor numerous deadlines, including issues with designated time frames; ensure deadlines are met; review and assign work as directed.
  • Oversee record retention function and act as custodian of corporate documents and records.
  • Comply with safety policies and personnel rules.
  • Perform other duties as assigned.
  • Ability to work occasional evenings and weekends as necessary.


Qualifications
:

  • Associate’s degree plus two years of work experience, with one or more years in financial, accounting, human resources, math, sciences, data analysis, event planning, or executive assisting.
  • Proficiency in Microsoft Office (Outlook, Word, Teams, Excel) is required.
  • Strong skills in math computations, spreadsheet calculations, and data manipulation.
  • Valid driver''s license and insured vehicle available for use on the job; satisfactory driving record for the previous three years.
  • Candidate must pass a comprehensive background screening prior to employment.
